Samsung VXT simplifies this process by offering user roles and permissions. It allows administrators to control who can access specific features or content within the system.

What Are User Roles (and Why They Matter)

User roles in Samsung VXT are like job functions in an organisation - they define what each person can or cannot do on the digital signage platform. Instead of giving all users full control, you can set permissions that match their responsibilities.

For example, a designer might only need to upload content, while a technician might manage device settings. Assigning roles helps keep the system organised and secure. It prevents accidents (like someone unintentionally taking down your menu board content) and ensures that each team member can focus on their part of the work.

In short, roles let multiple people work together on VXT without stepping on each other's toes.

Types of User Roles in Samsung VXT

Samsung VXT comes with a few built-in user types, each with different levels of access. When you invite someone to your workspace, you will choose one of these roles for them. Here are the user types and what they mean:

  • Owner

The Owner is the top-level role. This person has full control over everything in every workspace. They can manage users, change settings and handle subscription plans. In most cases, this will be the person who set up the system or the IT lead. Think of them as the overall administrator for the entire organisation.

  • Admin

Admins have almost complete control, but only within the workspaces they belong to. An Admin can manage content, screens and settings in their assigned workspace(s). This includes things like configurations and rate plans. However, an Admin might not see or control other workspaces that they are not added to.

  • Manager

“Manager” is not a single role but actually three sub-roles, depending on what you want that person to handle.

  • A-Manager (All-round Manager): Can manage All - both the screen content and the screens/devices themselves in their workspace. This role is great for someone who oversees the entire signage in a specific location or project.

  • S-Manager (Screen Manager): Focuses on Screens. They can control displays (e.g. scheduling on/off times, monitoring screens) but have limited permissions when it comes to editing content. Use this for a technical staff member responsible for keeping the displays up and running.

  • C-Manager (Content Manager): Focuses on Content creation and publishing. A C-Manager can design and upload media, create playlists, and push content to screens, but they cannot manage the screen hardware or settings. This is ideal for your creative folks who shouldn’t mess with device configurations.

  • Viewer

A Viewer is read-only. Users with this role can log in to the CMS and look at content, see the status of screens, and view other users in their workspaces, but they cannot make any changes. This permission level is perfect for stakeholders who want to keep an eye on the signage content or analytics without risking any changes, for instance, a manager who just wants to see what's playing on the screens.

Each role ensures people only access the parts of the system relevant to them. 

Accessing the User Management Page

Before you can set roles, you need to know where to go in the interface. All user management happens in the Users menu of Samsung VXT.

The User Management screen lists all members of your organisation, their workspaces and roles.

To get there, log in to your account and click your profile picture in the top-right corner, then choose Settings > User. This will open the user management page where you can see everyone who has access to your organisation’s account.

For each user, you will see their name, which workspace(s) they have access to, and what role they have in each workspace.

When you invite new people, their accounts will first show up in a Pending list on this page. They remain "pending" until they accept the invitation and log in to Samsung VXT for the first time.

Once they join, they move to the main user list and you will see their last login time and other details. (Hint: You can click on any user’s name in the list to see more info like their email, when they last signed in, and what role they have.)

Adding New Users and Assigning Roles

Now, proceed through the steps to add a new user to your account and give them the right role. You do not need any technical expertise to do this - it is pretty straightforward:

In the User Management menu, look for an Invite User button (it is usually a blue button). Click that, and a form will pop up. Here is what to do next:

1. Enter their email address

It has to be the email they use for their Samsung Account. (Samsung VXT uses Samsung accounts for login, so make sure your teammate has one or let them know to create one, which is free.)

2. Select a workspace

Choose which workspace you want to give them access to. If your organisation only has one workspace, it will be pre-selected. If you have multiple (say, different offices or projects), pick the relevant one. You can always invite the same person to another workspace later if needed.

3. Assign a role

From a dropdown or list, pick what role this person should have in that workspace (Viewer, Manager, Admin, etc.). For example, if you are inviting a graphic designer to upload content, give them a C-Manager or simply a Manager role; if it is a supervisor who just needs to see what’s going on, choose Viewer.

4. Send the invite

Click the Invite button to send out an email invitation. The system will email the person a link.

5. User joins

The invited person needs to check their email and click the Go to Samsung VXT CMS link to accept and sign in. Once they do that, they will officially be added to your organisation.

After inviting, you will see the new user listed as pending on your user management page until they log in. Once they have joined, they appear in the active user list with the role you assigned.

At this point, they can start using the software according to the permissions of their role. For instance, a Viewer can log in and look around, while an Admin can begin creating content or adding screens right away.

Tip: If your team member says they did not get the invite email, have them check the spam/junk folder. The invite comes from Samsung VXT’s system, and sometimes corporate email filters can block it. You can always resend an invitation if needed.

Managing Users and Changing Permissions

Over time, you might need to change someone’s access. Maybe an employee switches roles, or someone leaves the team. Samsung VXT makes it easy to manage these changes.

If you want to change a person’s access rights or workspace, the simplest method is to remove them and then invite them again with the new role (since the interface does not currently offer a direct “edit role” button). 

For example, if Jane were a Viewer and now needs to contribute content, you can withdraw her access and re-invite her as a C-Manager. Removing (withdrawing) a user does not delete their Samsung account; it just revokes their access to your account.

How to remove a user

On the Users page, find the person you want to remove. Hover your mouse over their row, and you will see a little three-dot menu icon appear on the right side. Click that icon, and select Withdraw User from the menu.

The system will ask you to confirm, and then it will cancel that user’s membership in your organisation. That person will no longer be able to log in to your signage system (at least not for your organisation’s content).
